Leasing Consultant

The purpose of this job description is to communicate the responsibilities and duties associated with the position of Leasing Consultant. Reports to: Property Manager/Leasing Manager

Job Brief:

The Leasing Consultant works with the Property Manager, Assistant Property Manager, and Leasing Manager (when applicable) in maintaining all aspects of property operations, but with a concentration on the Leasing, Marketing, and Resident Relations functions of the property to achieve property objectives. Work directly in conjunction with the Property Manager and team to achieve the goals set forth.

Essential Duties

Process Administration:

Carry out specific business processes, focusing on, but not limited to leasing activities to achieve property goals and objectives.

Utilize Company leasing expectations and procedures to warmly greet prospective residents, qualify, determine needs and preferences, professionally present the property and apartment homes, utilize feature/benefit selling, close the sale and follow-up.

Answer incoming phone calls professionally and handle accordingly, whether the caller is a prospective resident, a resident, an internal Company team member or a vendor.

Take resident service requests in a complete and accurate manner, immediately enter them into property management system so to route them to maintenance for prompt processing and conduct follow-up with residents.

Ensure the leasing office, club room, models, vacant apartments and amenities are clean and present a warm, welcoming image of the property. Clean, vacuum, and dust when needed.

Physically inspect the property when on grounds, pick up litter and report any service needs to the maintenance team.

Complete all lease applications and participate in the verification of applications. Notify prospective residents of results.

Complete all lease paperwork including related addenda.

Accept rents and deposits from residents and prospective residents. Do not accept cash payments.

Maintain accurate resident records in accordance with Company policy.

Update daily reports concerning notice to vacate, vacancy reports, activity reports, etc. on a daily basis as scheduled.

Update on a daily basis all rents, deposits, application and miscellaneous fees received from residents in the absence of Assistant Property Manager. Deposit all payments received prior to bank closing each day.

Organize and file all applicable reports, leases and paperwork.

Maintain an awareness of property performance goals and progress toward those goals, including occupancy, leasing, closing ratios, and resident retention.

Customer Focused:

Establish effective relationships with internal and external customers.

Strive to meet resident needs and create win/win situations.

Follow through on resident needs to satisfactory resolution and communicate problems to any necessary party to facilitate resolution.

Regularly monitor resident satisfaction in person and through follow-up phone calls and utilizing Customer Satisfaction Surveys.

Maintain an awareness of local market conditions and trends and make suggestions for improving resident relations.


Establish effective relationships with internal and external customers.

Present property clearly and enthusiastically.

Speak clearly and assertively when communicating with residents, prospective residents, internal Company team members and vendors.

Utilize communications available in property management system and/or create resident communications such as notices, renewal letters, newsletter and flyers.

Contribute to the creation and distribution of marketing flyers. Develop a rapport and relationship with local preferred employers for marketing purposes.

Communicate regularly with the Property Manager and other team members regarding the leasing team performance, goals and objectives and suggestions for improved property performance.


Truthful, honest and reliable in dealings with residents, prospective residents, other Company team members, and vendors.

Maintain confidential resident files and data.

Follow through on commitments.

Earn trust of prospective residents by demonstrating a sincere concern and interest for their needs.

Display genuine concern when working toward solutions with residents, and present a professional image at all times.


Positively influence decision-making while building positive relationships with prospective residents.

Utilize relationship sales techniques as outlined in Company training to build relationships with prospective residents and influence decision-making.


Adapt quickly to changing priorities, multiple demands, change and unexpected circumstances.

Maintain composure when managing multiple demands.

Project positive, professional image of self, property, and the Company at all times.

Focus efforts and activities on properties with the greatest need, as determined by the Property Manager and Regional Director. Travel to other properties within the region as needed.

Arrive on time, begin work quickly and independently; manage time effectively. Avoid unnecessary tardiness or absenteeism.

Provide the required notice for requested non-emergency paid time off; ensure responsibilities are completed prior to scheduled absences.

Focus on the completion of tasks and activities so to achieve the objective.

Take a hands-on approach to any necessary duties to ensure the job is completed.


Display willingness and ability to find ways over, under, around, and through barriers.

Identify potential problems and suggest solutions.

Seek out and utilize available resources, including other Company team members, training manuals and guides, Apartment Association, etc.


Normal Work Hours:

9:00 am to 6:00 pm Monday through Friday, 10:00 am to 5:00 pm Saturday, 1:00 pm to 5:00 pm Sunday.

On call: Emergency situations only. Overnight stays will occasionally be required.


Copier/scanner/fax, telephone, personal computer/laptop, calculator, and adding machine.

Physical Requirements:

1. Stand and walk or sit alternatively depending on specific needs of day. Estimate 60% of time is spent on feet and 40% sitting at desk.

2. Have frequent need (33% to 66% of time) to perform the following physical activities:

4. Constant need (60% to 100% of time) to perform the following physical activities:

  • Writing/Typing Corporate, interoffice, resident communications
  • Grasp/Grip/Turning Telephone, doorknob use
  • Finger dexterity Operations of office equipment

5. Lifting/Carrying (Paperwork, deliveries, books, files, misc.):

  • Over 25 lbs. Rare need (less than 1% of time)
  • 10 – 25 lbs. Occasional need (1% to 33% of time)
  • Less than 10 lbs. Frequent need (33% to 66% of time)

Vision Requirements:

  • Constant need (66% to 100% of time) to complete forms, read and review reports, wide variety of correspondence, view computer screen. Frequent need to see small detail.
  • Frequent need (33% to 66% of time) to see things clearly beyond arm’s reach (inspecting property, neighborhood survey).

Hearing Requirements:

Constant need (66% to 100% of time) to communicate over telephone and in person with vendors, corporate and property team members, residents and prospects.

Speaking Requirement:

Constant need (66% to 100% of time) to communicate over telephone and in person with vendors, corporate and property team members, residents and prospects.

Driving Requirements:

Frequent need (33% to 66% of time) to utilize personal transportation to inspect apartment property and surrounding neighborhood, make trips to bank and also visit corporate office. Occasional travel may be required.

Working Environment:

  • Constantly indoors. (66% to 100% of time)
  • Frequently outdoors, all conditions. (33% to 66% of time)
  • Occasional exposure (1% to 33% of time) to paint fumes, solvents, adhesives, etc. Example: apartment, immediately, during or after make-ready.

Reasoning Development:

High. Must be able to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw conclusions and initiate appropriate course of action. Also, must be able to effectively convey ideas, images, and goals to a diverse group of personalities.
